Administrative Reception

The administrative activities of the Department of Veterinary Sciences are organised according to the University model, which provides for the coordinated use of resources dedicated to individual processes across its departments. The Budget and General Services Units, the Teaching Unit, and the Research Unit serve students, faculty, families, and the local community.
Each Unit has assigned administrative staff (either exclusively or jointly) and a Manager who coordinates their work. The Administrative Manager is responsible for coordinating the three Unit Managers and integrating the work of their respective Units.

Budget and General Services Unit

The Budget and General Services Unit is primarily responsible for the Department’s operations and logistics, its assets, and its facilities.
In May 2017, at the Director’s request, a functional unit called the “Purchasing Office” was created within the Unit. This unit is responsible for all purchases of goods and services, acting as the centralized purchasing structure for the Department. Category B “General Services” staff formally assigned to the Unit are responsible for concierge services and logistics at the Pisa office and report directly to the Administrative Manager, as are the administrative staff assigned to the Departmental Center of the “Mario Modenato” Veterinary Teaching Hospital.

Activities of the Budget and General Services Unit

The Budget and General Services Unit, in particular, deals with:

  • Shipments via partner courier
  • Acquisition of goods and services, rental and loans
  • Administrative management of activities related to theft, loss, and accident reports and insurance practices
  • Administrative management of the technical-administrative, teaching, research and research fellow staff of the Department
  • Elections of Department bodies and representation in the Department Council
  • Support for the activities of the bodies (investigative sessions, minutes, execution)
  • Management of movable assets
  • Contracts and agreements concerning the Department in general
  • Management of international cooperation agreements
  • Events
  • Attendance Management
  • Missions concerning the institutional bodies of the Department
  • Reimbursement of expenses from the economic fund for the general expenses of the Department and the ODV
  • ODV meeting room reservation
  • Protocol of correspondence sent to the Department Director and of documents produced within the Unit

Teaching Unit

The Teaching Unit handles the administrative, accounting, and management activities of the Department’s degree programs. These activities are coordinated by the Unit Head and dedicated staff.

Activities of the Teaching Unit

  • Support to the Presidents of the Degree Courses in the preparation, implementation and modification of the teaching regulations and ordinances of the Degree and Master’s Degree Courses
  • Management of procedures relating to the annual teaching planning of the degree courses belonging to the Department
  • Support to the Presidents of the Degree Courses for the activities of the Degree Course Council and the Joint Teaching Committee
  • Management of procedures related to the activities of the Specialisation Schools, PhD Programme, University Masters and Advanced Training Courses
  • Student Front Office (meeting and information service via email)
  • Management of recruitment, assignment, and contract signing procedures related to teaching activities (curricular teaching assignments, educational seminars, part-time student counseling, Youth Support Fund grants for students and doctoral students, teaching in master’s and advanced courses)
  • Management of procedures related to incoming orientation, curricular internships and job placement
  • Activities related to incoming orientation (open days, orientation fairs)
  • Administrative and accounting management of didactical projects, missions and educational activities
  • Management of course timetables, GAP management, booking of classrooms and off-site meeting rooms
  • Management of procedures related to the final exam activities of the Degree Courses and State Exams
  • Management of activities related to incoming orientation
  • Support for information and communication activities (guides, website, other)
  • Support in the management of procedures related to entry checks for the evaluation of initial preparation
  • Management of procedures related to the international mobility of teachers and students
  • Support to Managers in the management and administrative-accounting reporting of international cooperation agreements relating to teaching

Research Unit

The Research Unit handles administrative and accounting activities related to the Department’s faculty research projects. Activities are coordinated by the Unit Head with dedicated staff.

Activities of the Research Unit

The Research Unit offers support in particular for:

  • Research from competitive funding (call)
  • Stipulation of institutional research contracts/agreements (public bodies)
  • Stipulation of commercial research contracts/agreements (public and private bodies)
  • Research funded with University funds
  • Carrying out commercial research activities (studies/consultancy)
  • Carrying out commercial activities at the rate of research laboratories (paid services)
  • Activation of research seminars
  • Activation of research grants
  • Activation of scholarships (within research projects)
  • Activation of research grants
  • Activation of contracts for external personnel in the form of: temporary collaboration, professional and occasional services (within the scope of research projects)
  • Activation of non-curricular internships (within research projects)
  • Administrative and accounting reporting of completed research projects and finalisation of residual savings

It also deals with:

  • Internal transfers relating to services requested from other Departments (costs charged to research projects)
  • Administrative and accounting management of research projects
  • Off-site missions (costs charged to research projects)
  • Reimbursements from the economic fund (costs charged to research projects)
  • Information and communication activities related to the administrative and accounting management of research activities
